Office Manager

We have an exciting new opportunity for an Office Manager to join our site team based in central Bristol.  In this role you will assume responsibility for the effective running of the site office.  You will provide a comprehensive and effective support service, covering the areas and management of administration, on-boarding of new staff, office and stakeholder management. 

 

You may manage any team assistants, document controllers and senior document controllers in your area, ensuring they are conversant with required process, procedures and standards.

 

You will also manage, coordinate and deliver social value activity for the region, supporting the achievement of NG Bailey’s net positive strategy. 

 

Responsibilities

 

Key deliverables in this role are:

 

Office Management

 

  • Demonstrate appropriate Health and Safety leadership to ensure that the safety first and foremost message is visible and alive throughout all activities undertaken. Be responsible for the maintenance of the relevant office safety plan, business continuity plan and management of the “Don’t Walk By” system for the area of control. Work with the Engineering SHE team to ensure that the office has adequate provision of trained first aiders and fire wardens.
  • Ensure that legal notices are displayed in the office and on sites.
  • Ensure that building maintenance is conducted as required and that all electrical equipment is PAT tested at the requisite intervals.
  • Assist in the booking of travel, accommodation etc for all staff members as required.
  • Ensure that adequate office supplies are available and cost effective.
  • Ensure that the office environment is suitable, escalating issues if required to group property and or senior management.
  • Take full ownership for the on-boarding of all new staff. Provide ongoing support in the provision/management of equipment for staff to effectively carry out their roles.
  • Take ownership of maintaining local training/competence records and the communication of training requirements to staff.
  • Work with the project team and support the Planning Manager with the management of monthly staff resource.
  • Liaising with HR, provide visibility of holiday bookings and sickness records.
  • Be a point of contact for all stakeholders and deal effectively with enquiries

 

Social Value

 

  • Support the project team from the tender stage to identify and agree environmental, social value requirements and opportunities to be targeted. Work with colleagues to identify and organise social value activities during the construction period.
  • Support the project management and labour team to deliver the project people strategy to provide recruitment, training and development opportunities for the local community.
  • Organise and deliver social value activities that provide true benefit and represent NG Bailey in the region.
  • Establish local contacts to develop and grow relationships within NG Bailey and beyond, that support social value agendas.
  • Work with schools, colleges, charities, not-for-profit organisations, and other relevant bodies to build relationships and identify social value opportunities.
  • Engage with the procurement team to ensure social value deliverables are embedded within the supply chain and provide expertise to supply chain providers where necessary.
  • Work with group responsibility and L&D teams to maximise the social value investment across the business. Facilitate knowledge sharing and best practice across the business.
  • Manage and coordinate relevant activities, evidence all elements of performance relating to project-led social value KPIs. Record all social value activities for both internal and external reporting.
  • Provide environmental, social value leadership and guidance to ensure that the net positive message is apparent throughout the project activities, and support personnel to understand their specific net positive strategy responsibilities. Address any environmental or social value matters causing concern.

 

Document Control

 

  • Own, control and manage the project document management system, managing the flow of information.  Ensure all documentation is properly receipted, checked, monitored, registered and distributed through the project team, client team, supply chain and other contractors.
  • Liaise with all stakeholders to ensure synergy between NG Bailey system and external document management systems.
  • Provide regular progress reports to project management as required
  • Maintain high levels of confidentiality, including the safe storage of documentation and drawings.

 

Requirements

 

Strong experience in providing administration support

Good knowledge of Microsoft packages – Word, Excel, Powerpoint

Strong organisational skills

Experience of engaging large groups and presenting information that appeals to the audience and gains support

Experience of delivering social value events, preferably in the construction industry or similar commercial environment (desirable)

Understanding of document control, and relevant systems (desirable)
