Purpose of the Job

HH Global is a global marketing services group specializing in the execution of print, digital and retail media. We are looking for an Account Operations Coordinator to join our team. The ideal candidate will provide support to our internal team and client(s). This includes managing account billing, tracking and processing purchase orders, and ensuring seamless coordination of travel across all channels. The ideal candidate will build a deep understanding of our clients and services, while maintaining strong communication skills to build positive relationships with both internal and external stakeholders.

Key Responsibilites: 

  • Utilize project management tools to track and coordinate client billing and operational tasks

  • Manage, prepare and submit accurate travel expense reports

  • Track and manage travel budgets, ensuring compliance with client guidelines and agency policies

  • Understand and process purchase orders (POs), ensuring accurate billing and payment

  • Serve as the primary point of contact for clients regarding travel arrangements and inquiries

  • Assist in streamlining operational processes and workflows

  • Create and maintain detailed travel records and documentation across the organization

  • Draft and communicate ad hoc business updates to the wider internal team

  • Own and resolve internal & client concerns

  • Monitor high standards and work with team contacts on new methods and procedures

  • Develop best practice principles in conjunction with the wider team

  • Assist with other administrative tasks as needed, such as data entry and report generation

Knowledge, Skills & Experience:

  • Strong organizational and interpersonal skills, fluent in Google Suite and MS Suite

  • Exceptional customer service skills, maintaining positive and upbeat demeanor under pressure

  • Ability to quickly learn new software and procedures

  • Excellent communication skills, both written and verbal

  • Strong attention to detail and accuracy in data entry

  • Proven ability to drive results in a matrixed organization

  • Proactive problem-solving and time management, and strong leadership skills

  • Resourcefulness and ability to independently manage multiple priorities simultaneously

  • Experience working in a fast-paced environment

  • Strict confidentiality and discretion

  • Understanding of accounting principles, billing and Work Management Software applications (preferred)

  • Prior account and agency experience (preferred)

 

For California applicants: The salary range for this position is $55,000 to $65,000 annually. Actual compensation packages are based on a variety of factors that are unique to each candidate, including skill set, experience, certifications and work location. This range may be different in other locations due to differences in the cost of labor.   

The total compensation package for this position may also include annual performance bonus targets, benefits and/or other applicable incentives in addition to base salary.
